General Rodeo

If I have never attended the Rodeo before, will this be a problem?
Not necessarily, the Rodeo draws a variety of people from various lines of business in the coal industry. Primarily, producers, buyers, and transporters make up the attendees at this premier industry occasion. If you wish to receive an invitation to this or a future Rodeo event, please fill out a contact form with your information and a little bit about your role in the coal industry. What are the dates for this year’s Rodeo? How about future years?
The Rodeo is held annually on the last full weekend in September and runs from Thursday through Sunday. Please visit What is the Rodeo? for exact dates of future events.

What is the difference between the Welcome Brochure and the Event Communiqué?
The Welcome Brochure offers general details and information including a preliminary Program of Events for the upcoming Rodeo – many important questions can be answered here like registration deadlines and contact information. The Event Communiqué is a more thorough publication that offers important reminders, CEED Symposium details, golf tournament rules, and the final Program of Events.

How does the Calcutta work?
The Calcutta fundraiser works like this: A randomly numbered envelope exists with the name of every golfer playing in the Men’s Rodeo Tournament on Saturday morning written on a card inside. Each envelope costs $20 (available at the registration desk) – so you are blindly purchasing the name of a golfer. After the Tournament, scores for each golfer are calculated based on the Callaway system. 1st, 2nd, 3rd, and 4th place golfers are then announced based on their Callaway scores. If the envelope you purchased contains a golfer’s name that came in 1st, 2nd, 3rd, or 4th place using the Callaway scoring, you win the same place prize for the Calcutta.

(Example: Jim Johnson is a golfer on Saturday. Mary Jones pays $20 and buys a Calcutta envelope that contains Jim Johnson’s name printed on the card inside the envelope. After the Saturday Tournament, Jim Johnson is announced as the 2nd place winner using the Callaway scoring system. Mary Jones is now the winner of the 2nd place Calcutta prize.)

Prizes for the winning Calcutta envelope holders is based on a 75% payout of all money collected with the remaining 25% being donated to The Rodeo Scholarship Fund.

I. What is ACCCE? II. What is the ACCCE Seminar? III. More importantly, if I attend the ACCCE Seminar will I still be on time for the Holly Stover Team Classic on Friday at 10:30 am?
I. The American Coalition for Clean Coal Electricity (ACCCE) advocates public policies that advance environmental improvement, economic prosperity, and energy security. ACCCE believes that the robust utilization of coal – America’s most abundant energy resource – is essential to providing affordable, reliable electricity for millions of U.S. consumers and a growing domestic economy. Further, ACCCE is committed to continued and enhanced U.S. leadership in developing and deploying new, advanced clean coal technologies that protect and improve the environment.

II. The ACCCE seminar is an informative symposium that gathers a panel of coal industry professionals to discuss current events and market and other major issues confronting coal markets today. Each year ACCCE strives to offer different but relevant panel speakers from various positions in the coal industry. (i.e. coal consultants, utility CEOs, etc)

Dress is resort casual and a Continental Breakfast is served before/during the seminar which usually lasts around usually last about 1.5 - 2.0 hours. Additionally, if you attend and are pre-registered via the Rodeo Activity Sign-ups, you're automatically entered in the drawing for a free weekend at The Greenbrier.

III. Now the most important question . . . Yes, you will have plenty of time to make the Holly Stover Classic shotgun start at 10:30 am. One of the reasons we started this Friday shotgun format was so that all interested parties could both attend the ACCCE event and golf.

Registration

When is the deadline for registration?
The deadline for this year’s Rodeo is August 1, 2008. This same deadline applies to the registration fee, and room deposit at The Greenbrier.

What if I do not want to register online?
We are only offering online registration at this point. We encourage everyone to try the online process, but, if needed, we will be more than happy to walk you through the process over the phone. Our contact numbers are located here.

How do I register for the Rodeo?
You can now register online. Just follow the user-friendly, 3-step process to complete all of your registration needs – including 1) registration and activity sign-up, 2) registration fee payment, and 3) Greenbrier room reservation and room deposit payment.

Can I make changes to my Personal Information and Rodeo Activities Sign-up after registering?
Yes, you can edit your Personal Information and Rodeo Activities from the My Rodeo section of the website 24/7. Once we get too close (about a week before) to the actual Rodeo event, making changes will be disabled so that we can process the final attendance/activity count.

What address should I use for the “Alt. E-mail” during registration?
The “Alt. E-mail” optional field can be used however you wish. In addition to the primary E-mail (User ID), the Alt. E-mail address you supply will receive all e-mail notifications regarding activity sign-up confirmations and personal information changes/updates. In the past we have seen this field used for assistants, spouses or guests, home e-mails, etc. – anyone you may want to keep involved with this event.

Can I still register even though I am not able to attend this year's Rodeo?
Yes. We encourage everyone to register even if they are not able to attend. Your contact information will be preserved for future events and will ensure that you remain on our mailing list for subsequent year's invitations. This will also allow you to keep us up to date with any address, phone, etc. changes as they ocurr. If not attending, simply leave the Rodeo activity sign-up areas blank and skip all payment steps. You can edit your information at any time after logging into My Rodeo.

I made a mistake while registering for the Rodeo OR reserving my room from My Rodeo. Either/both the Rodeo Registration Fee or/and Room Reservation Deposit show(s) "Processing (reset)", but I have not made payment. How do I complete the process?
New this year, we have added the ability for each guest to "Reset" their My Rodeo is any problems were incurred while trying to register. Simply select the "Reset" link to start the process over. However, please make sure that the transaction was not completed before resetting, else you run the risk of paying twice. The best check for this is to see if a confirmation e-mail was received, but please fee free to contact usif you would like us to check on the status personally.

This problem most likely will happen when the process is started then stopped while in the middle of the process without fully completing all steps. Perhaps the process "timed-out" due to inactivity or the active window was closed before payment information was entered and submitted.

How do I login to My Rodeo if my e-mail has changed since last loggin on to the system?
If your e-mail has changed, simply login to My Rodeo using your old e-mail address and password. After logging in, simply update your information with your new email, etc. by choosing the "Edit" button under the Personal Settings area of My Rodeo. The only catch here is that you must know your password - it cannot be retrieved with the "Forgot Password" link because the password can only be sent to the e-mail on file. If your email has changed and you do not remember your password, DO NOT register again - just contact us and we will be happy to reset your password for you so you can update your information.

Reservations

How do I reserve a room at The Greenbrier?
Rooms will be reserved online through the registration process? Detailed instructions are available during this process. After registering for the Rodeo, the My Rodeo section offers direct "Send" links to reservation pages of The Greenbrier. The Greenbrier will send confirmation notice once you have completed the process.

Please note that approximately 45 days prior to the Rodeo event, online room reservations will be disabled and you will need to contact Brenda Crawfordfor assistance: Phone: 304-536-1110 ext. 7355 or Fax: 304-536-7818.

Whom should I contact if I made an error or have a question during my online room reservation with The Greenbrier?
The Greenbrier reservation specialists will be able to handle any problem you may have relative to your room reservation. Brenda Crawford is the Rodeo coordinator in the reservations office and can be reached at Phone: 304-536-1110 ext. 7355 or Fax: 304-536-7818.

Payments

Do you accept credit cards for the Rodeo Registration Fee?
Yes. When you reach the payment section of the registration process, just select the “Pay by Credit Card” button. Our site is completely secure and we accept all major credit cards. Make sure you have all necessary information to complete the process once you start - especially the security code

After completion, you will receive an confirmation and receipt for payment via e-mail. The e-mail is sent from 2Checkout.com our authorized retailer for the transaction.

When you reach the payment section of the registration process, just select the “Pay by Check” button. You will be asked for some simple comments and then press a “Send” button that lets us know to look for your check payment in the mail. Detailed instructions are offered on how to submit a check payment.

When you reach the payment section of The Greenbrier room reservation process, just select the “Pay by Company” checkbox. Just tell us anything else you would like us to know in the “Comments or questions” textbox before submitting your room reservation request. The Greenbrier will then be on the look out for your check.

Can I pay for multiple guests during the registration process?
Not really. Each guest much register independently and pay for his or her registration fee and room deposit. The only way that this can ‘kind of’ happen is if after the multiple guests have independently registered for the event – is that each guest select the “Pay by Check” button and then have their company (assuming each guest is from the same company) send one check to cover multiple guests.

We would just ask that you make sure this intent is mentioned the fact in the “Comments/Special Instructions” textbox of the ’Pay by Check’ page and if possible, please include with/on the check – the names of the guests to be covered by the check. The same general idea applies for paying The Greenbrier room deposit for multiple employees.

Can I combine payments for the Rodeo Registration Fee and The Greenbrier Room Deposit?
No. We are unable to handle combined payments in any way. We apologize for any inconvenience this may cause.

Is this site secure for making payments?
Our Secure Sockets Layer (SSL) software is the industry standard and among the best software available today for secure online commerce transactions. It encrypts all of your personal information, including credit card number, name, and address, so that it cannot be read as the information travels over the Internet. We do not allow any transactions that do not occur on a Secure connection.

Is there any special information I need to provide when making payment by credit card?
Most information you will need is rather standard for purchasing with a credit card. Things like card number, expiration date, name printed on the card, billing address, and phone number are fairly standard, but please be certain you have the security code information shown below:

Credit Card Security Code
For your safety and security we require that you enter your card security code, if one is available.
For Mastercard & Visa, the Card Security code is a 3 digit code printed on the signature strip on the back of the credit card. The value will be the last 3 digits of the printed number at the top of the signature strip. The number at the top of the signature strip will in most cases be the full credit card number followed by the card security code, but in some cases only the last 4 digits of the card number followed by the card security code may be shown.

For American Express, the code is a four digit number on the front of the card.

Important: If your card does not have a verification number, try another card or enter the number 0000.

Mastercard, Visa or American Express will indicate if the code exists on the card and if it matches what was entered. Failure to enter the code correctly is sufficient reason to block an order.

How do I get an invoice/receipt for my registration if I am paying with a check?
If you are paying by either a personal of company check and you would like an invoice/receipt for the Rodeo Registration Fee, please contact us and upon verification of payment, we will send you an invoice/receipt for your records.

Rodeo Activities

How do I submit my foursome for golf? What about my spouse/guest?
Golf foursomes are sent/submitted from the My Rodeo page for all Rodeo-sponsored Tournaments. You must submit a form for each golf event you (or your spouse/guest) are participating in. You can either select your own foursome or asked to be placed in a grouping. Once submitted, you and the golf chairperson are sent a confirmation e-mail of your foursome choices.

Deadline for submitting your golf foursome information is August 29, 2008.
Contact information for the golf chairpersons can be found in the Welcome Brochure for any additional questions you may have.

How do I change the line-up of my golf foursome after I submitted the online form?
If you make a mistake or just want to change your golf foursome line-up, simply cancel the existing foursome from the My Rodeo page and then submit a new foursome line-up. E-mail confirmations will be sent to you and the golf chairperson for all changes made to the foursome line-ups.

I noticed some social activities on the Program of Events in the Welcome Brochure, how do I sign-up for these?
Sign-ups for these events will be made available at the Registration Desk at The Greenbrier when you arrive. Please feel free to contact us for more information ahead of time or just ask a representative at the Registration Desk when you arrive.

How will I be billed for the various Rodeo activities?
There are two classifications for Rodeo activities. Some are billed to the Rodeo account and others are billed to each guest's account. The two are split along the following main categories:

Social Activities are typically billed directly to the Rodeo for payment. These include the Rodeo sponsored, bunker tour, culinary demonstration, croquet (1st hour), card party, etc.

Sports Activities are typically bill directly to each individual's room account. These include golf, tennis, and trapshooting.

Please keep in mind that all refreshments served at Rodeo-sponsored events are billed to the Rodeo account.
